Introduction and Scope

  • The Applicant confirms they meet all eligibility criteria specified in the grant application and that the information provided is accurate to the best of their knowledge.
  • If you are offered and accept a grant from Park Charitable Trust for Girls, it will be on the understanding that you have agreed to the general terms and conditions outlined below.
  • These Terms and Conditions should be read alongside the Memorandum of Understanding (MoU) issued to the Applicant. The MoU sets out the specific details of the funded project, including agreed activities, timescales and reporting requirements. In the event of any inconsistency, these Terms and Conditions shall take precedence.

Safeguarding and Protection of Children and Young People

  • The Applicant confirms that all relevant checks have been made to ensure all Governors, Trustees, Directors and Management are compliant and suitable. (Section 128 checks are required regarding schools)
  • The Applicant also confirms that they are fully compliant with all safeguarding requirements as outlined in the Keeping Children Safe in Education (KCSIE) statutory guidance which is updated annually. This includes the correct level of Vetting and Suitability Checks including a current enhanced DBS check, either issued within the last three years or maintained via the DBS Update Service. This should be in place for all individuals engaged in the delivery of the project and the maintenance of safeguarding and child protection policies, including relevant training and compliance. The Applicant agrees to provide evidence of such compliance upon the request of Park Charitable Trust for Girls.
  • Park Charitable Trust for Girls is a grant-making organisation and does not directly deliver services to children or young people. Responsibility for safeguarding practice, safe recruitment, and day-to-day safeguarding arrangements rests with the Applicant organisation.
  • Park Charitable Trust for Girls reserves the right to suspend, withhold, or terminate grant payments where safeguarding concerns arise, pending investigation or receipt of satisfactory assurances.
  • Where applicable, the Applicant must comply with its own regulatory obligations regarding serious incident reporting and cooperate with any reporting requirements of Park Charitable Trust for Girls.
  • The Applicant confirms that it operates safer recruitment practices in line with statutory guidance, including appropriate pre-appointment checks, verification of identity, work history, and suitability to work with children.
  • Prior to commencement of any project, Park Charitable Trust for Girls will request copies of Enhanced DBS certificates for all facilitators, appropriate Insurance certificates (public liability) and current Safeguarding policy. Training records may also be requested at any stage of the grant lifecycle.
  • As part of our grant making and safeguarding processes, we reserve the right to carry out social media checks on applicant organisations. We will only review publicly available information on the organisation applying for funding, not any private data of individuals associated with it. This is to ensure alignment with our values and the responsible use of grant funds. By submitting your application, you consent to this practice. 
  • Grant funds must be used solely for the purpose described in the grant application. The funds cannot be diverted for other uses.
  • Park Charitable Trust for Girls may wish to visit to see the activities/work funded by the grant. Park Charitable Trust may wish to take photographs for marketing purposes. Applicants must ensure they have consent for images/data shared with the Trust.
  • The Applicant must notify Park Charitable Trust for Girls immediately if any safeguarding concern, allegation, investigation, serious incident, or referral to a statutory authority arises in connection with the funded project, whether before or during delivery.

Use of Grant Funds and Delivery of the Project

  • Receipt of the grant will be acknowledged by The Applicant and confirmation made by the signatories of the Memorandum of Understanding that the money has or will be spent on the purpose approved by Park Charitable Trust for Girls. Evidence must be provided through receipts, photographs, etc, as appropriate.
  • The Applicant agrees that we (PCTG) may publicise the grant and use any of their own material in doing so. Logos, images, photos provided to Park Charitable Trust for Girls will be acknowledged as providing permission for the Trust to use for marketing purposes, advertising and promoting our grant awards, unless otherwise stated.  Once this information is sent to us, we will keep a copy on our files.  Park Charitable Trust may use photographs or activities it has supported/issued grants to through social media, website, email campaigns and announcements.

Monitoring, Reporting and Accountability

  • Upon spending the grant amount and realising the benefits at an appropriate time (usually halfway through the project), the Applicant will compile a short report and submit to Park Charitable Trust. This condition applies to longer projects of up to a year in duration.  An evaluation report will also be completed at the end of the project.
  • For shorter term projects, an evaluation report will be required at the end of the project.
  • You will include reference to Park Charitable Trust and what the award is used for on at least one occasion as part of your regular marketing initiatives. This may be in the form of a newsletter, email campaign and web publications. 
  • No material changes to the funding activities/project will be made without the written agreement of Park Charitable Trust.
  • The Applicant will keep a financial record of the spending of the grant and retain a copy of any appropriate invoices and receipts and submit these to Park Charitable Trust on conclusion.

Suspension, Withdrawal and Repayment

  • Any part of the grant that is not required for the purpose approved or the project has not commenced within six months of the grant being awarded (unless formally agreed otherwise) will be refunded to Park Charitable Trust.
  • The Grantor reserves the right to audit and monitor the Applicant’s use of the grant funds at any time to ensure compliance with the terms of the grant.
  • Any assets of value purchased with the aid of a grant should be retained and used for the agreed purpose. If used for another purpose or dispose of, this must be reported to Park Charitable Trust who reserve the right to require repayment of the value of the asset or the transfer of it to another beneficiary (not applicable to assets that reach the end of their useful life).
  • The Applicant will indemnify us or procure an indemnity against any liability arising from any claim made against us in connection with or arising from our grant. Proof of Public Liability Insurance must be submitted to the Trust prior to commencement of any project. 
  • The Applicant will indemnify us against all claims/damages made in connection with the project for which the grant has been made.
  • Receipt of the awarded amount will be acknowledged by the recipient and confirmation made by the signatories of the Memorandum of Understanding issued by Park Charitable Trust for Girls.

Acceptance of Terms

 By submitting the grant application, the Applicant acknowledges and agrees to the terms and conditions outlined above.

Park Charitable Trust for Girls reserves the right to withhold a grant or require repayment if it finds that any form of deliberately false or misleading information was provided.

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
